Choosing the Right Microsoft 365 Copilot Chat Plan: Pay-As-You-Go vs. Subscription

Microsoft 365 Copilot Chat is changing the way we work—offering AI-powered assistance that helps draft content, summarize files, and answer questions in real time. But how do you decide which pricing model is right for your organization?

Let’s break down choosing the right Copilot Chat plan in plain terms.

Two Ways to Pay: Flexibility or Predictability?

Microsoft offers two main ways to access Copilot Chat:

  1. Pay-As-You-Go (PAYG) – You’re billed only for what you use.
  2. Subscription (Per-User License) – You pay a flat monthly fee per user for unlimited access.

Pay-As-You-Go: Great for Pilots and Light Users

Think of PAYG like a utility bill—you pay for each AI interaction (called a “message”), at $0.01 per message. If your team uses Copilot Chat occasionally, this model keeps costs low and flexible.

Why choose Pay-As-You-Go?

  • No upfront license costs.
  • Ideal for testing or gradual rollouts.
  • Scales easily—add users anytime.
  • You can monitor usage and set budgets.

Example: If 10 users each ask 20 questions a month, that’s 200 messages = $2 total.

Watch out for: Costs can spike if usage grows unexpectedly. Heavy users might end up costing more than a flat license.

Subscription: Best for Power Users and Predictable Budgets

With the $30/month per-user license, you get unlimited access to Copilot Chat and all its integrations across Microsoft 365 apps—Word, Excel, Outlook, Teams, and more.

Why choose Subscription?

  • Predictable monthly cost.
  • Unlimited usage—no tracking needed.
  • Full access to Copilot features, including work data integration.
  • Easier to manage—no Azure billing setup required.

Example: If a user sends 3,000+ messages a month, the flat $30 fee is cheaper than PAYG.

Watch out for: You pay the full price even if a user barely uses Copilot. It’s best for users who will use it regularly.

Which One Should You Choose?

Pro Tip: Mix and Match

You don’t have to choose just one. Many organizations start with PAYG to test adoption, then license their power users while keeping occasional users on PAYG. This hybrid approach gives you the best of both worlds – cost control and full functionality where it matters most.
